Whether you are a new or well established business, maintaining your accounts can be a challenging job for any business. When it comes to accounts, many businesses entrust everything to an account. However by using an accounting software package as well you can save money and time that could be spent productively on other aspects of your business.

Choosing the right package however to do this job can often appear to be a difficult task and not all businesses will benefit from having accounting software. For those businesses that do benefit, having accounting software makes your accounts process very simple.

The detailed requirements that you will need within your accounts package depends on the type of business you have and how you run it. When choosing the right accounting software for your business it involves you deciding on your requirements and then looking for an accounts package that can meet all your overall and detailed requirements. The requirements that each accounting software have all vary, which is why it is important to consider what you will want out of your accounting software package. Some of the requirements that you may want from your accounting software include the following:

• Basic bookkeeping – this will document all your sales and purchasing as well as invoicing

• VAT calculations – allows you to keep track of VAT and to calculate your VAT

• Payroll processing – you should consider this as part of your accounting software if you have more than three employees. The payroll function calculates PAYE (pay as you earn) as well as your weekly/monthly National Insurance contributions.

• Production of management information and decision support – important if you need to prepare internal management reports periodically.

• Invoicing – every accounting software package should provide an invoicing function. Most provide an option of tailoring your invoices to your desired appearance.

• Credit control – this option highlights where customers have exceeded their limits and provides statements to chase them.

• Compatibility – you should think about whether your chosen accounting software is compatible with any other accounting systems, including the one that is used by your accountant.

• Stock control – if your business sells products then stock control is an important function to ensure that you have enough products in stock and so that you know what has been sold.

Accounting Software is application software that records and processes accounting transactions. Most accounting software packages consist of various modules/sections. The main core modules of most accounting software packages are as follows:

• Accounts receivable – this aspect of accounting software deals with the billing of customers for the use of products or services. It is where the company enters that money has been received.

• Accounts payable – this part of your accounting software is used when you receive an invoice. You add the invoice to this file and remove it when you have paid it. These invoices cover money that is owed to people such as suppliers.

• General ledger – this is the summary of all of the transactions that occur in the company. General ledger can also be known as nominal ledger and is the main accounting record of a business.

• Billing – when a business invoices its clients/customers

• Stock/Inventory – it could be important to your business to keep track of all the material/stock that you have within your business. By having stock/inventory lists it allows your business to keep control of its inventory.

• Purchase Order – when your business orders inventory you will be sent a purchase order, which is a document stating the type, quantity and agreed price of the inventory.

• Sales Order – order received by a business from a customer. These sales orders are recorded so that a business knows how much inventory it has. These sales orders may be for a product or for a service.

Accounting software could be just what your business needs but choosing the right one is highly important to ensure that you are getting exactly what you need from your accounting software.

There are a number of reasons that companies make the decision to purchase new accounting software. Perhaps they want to improve their efficiency or are looking for ways to generate more timely reports. There is no doubt that, when selected and implemented properly, good software can put more information at your fingertips than you previously imagined. However, many business owners fall in to the trap of thinking that simply putting all their accounting data in to a piece of software will magically solve all their problems. Unfortunately, this is not the case.

Before purchasing a new piece of accounting software, it is important to point out that people do accounting, computers do not. Computers with good software are certainly great tools to have at your disposal and can be very beneficial in assisting with decision making, but in the end the accuracy of the data depends on the person putting the data in to the computer. Thus, remember that computerizing your accounting process will not necessarily result in greater control and accuracy. You must also have personnel capable of using the software to the best of its abilities.

Most people begin the search for new accounting software by asking themselves what the best package is. As with most things in life, the answer is “it depends.” The right accounting software package for a small business in rural New Mexico will likely not be the same “right” package for a multi-billion dollar corporation in New York City. Instead of spending time trying to figure out which software is the best overall, ask yourself questions that will help you find the software that is the best for you – What features do we need? How many people will be using the software and what are their technical capabilities? How much can we afford to spend? What is the vendor’s reputation? What kind of support is available after the initial purchase? Etc…

It is also important to look in to things such as what types of training are available for your staff, what peers have told you about the system if they have experience with it, and also what various accounting software reviews say about the particular software you are looking in to.

When investigating new accounting software, many business owners, especially smaller businesses, are tempted to use a simple spreadsheet program to handle their finances. Be warned – these spreadsheets quickly turn from simple to complex and are often difficult to keep track of what sheet shows what information and how it’s all inter-connected. Additionally, data within the spreadsheet is easy to manipulate which can lead to inaccurate financial reports. On the bright side, if you’re currently using spreadsheets to track accounting, you may be able to find a new accounting software package that will import all of your old data.

Businesses that are the most efficient are often the most successful in today’s ever-changing business environment. Modern accounting software is designed with this in mind, but care must still be taken when selecting new software for your business. In fact, if you choose the wrong software, you could end up with bigger problems on your hands than originally planned.

4 Reasons not to Purchase Business Accounting Software

Not all organizations need business accounting software. Because of the mobility some companies are better suited to utilize paper and pencil or a personal digital assistant(PDA).

On the other hand, some businesses have enough accounting data and that data is located in one place, to benefit from software. Some of these criteria listed below are directed toward certain business types and may not apply. But, if a company has more than any of these limiters, business accounting software would be a good idea.

Business accounting software is not needed if all of these apply:

1. Total monthly sales are under $2,000.

Generally, the amount of recording effort needed to keep track of $2,000 is minimal and can be done with a pencil and paper or an excel spreadsheet.  It is a small enough number that any misapplication can be easily detected and corrected.  If the sales are any higher, the risk for error and stealing drastically increase.

2. Less than 30 monthly sales transactions.

This is for the type of business that sells large equipment or contracts jobs that take multiple days to complete. When less than 1 sale per day is made, it definitely should not be an issue to make any calculations or recordings. Even if the project or sale is a long distance form the office, you should be able to remember that sale for days or weeks until it can be tracked.

3. Inventory less than 100 items.

Business accounting software can be very useful for tracking how much inventory is on-hand and how much is needed. Software can be programmed so that when a product is sold, it is automatically withdrawn from the inventory statistics. If there is less than 100 items stored at one time, then those could be easily managed manually.

4. No employees

Payroll can be done by hand, but it can be very time consuming and laborious.  If something so detailed can be easily figured automatically by business accounting software, then it would make sense to use it.  Besides, a large or small business wants to be working on increasing sales or optimizing efficiency instead of busywork.  If no workers are employed, then obviously there is no need for software that calculates payroll.

If all 4 of these guidelines are met, then business accounting software is probably not needed.  A software package may still be helpful, but within these ranges, it may not be economical. This is not to say that free accounting software cannot be downloaded and used, but it should not be purchased.
